Notes to Parents

 
1 Member Handbook and Notice
The handbook serves as an important communication channel between HKCC and parents. Please read through our notices and sign where appropriate after every class.
Member shall come to class with their handbook.
Each member will receive a free copy of the Member Handbook. Replacement fee for each lost or damaged handbook is HK$30.
2 Apparel
Members shall wear HKCC outfits according to the requirements of the classes they attend.
Members who are recommended to perform shall wear the stage costumes (or uniform) available at designated suppliers.
3 Member Card
Members shall present their Member Card to enter HKCC premises.
Member Card will be renewed every year at no charge, New Member Card will be issued after members' promotion to a new class.
Replacement fee for each lost or damaged card is HK$10.
Member Cards are non-transferable and are properties of HKCC. HKCC reserves the right to invalidate the card without prior notice.
4 Parent Card
Parents shall drop off and pick up their children at designated area of HKCC centres.
 
Parents of members in certain classes will be issued a Parent Card valid for that year. Parents entering HKCC premises shall present their Parent Card. Each card is for one person only.
Replacement fee for each lost or damaged card is HK$30.
Parent Cards are non-transferable and are properties of HKCC. HKCC reserves the right to invalidate the card without prior notice.
5 Class Fee Payment
Class fees shall be paid via bank auto-pay system at designated banks (The Hongkong and Shanghai Banking Corporation, Hang Seng Bank, Bank of China, Standard Chartered Bank and Bank of East Asia).
Each Instalment covers class fees for 2 months and will be debited from designated bank accounts on the first business day in January, March, May, July, September and November. Please ensure that sufficient balance is in the account before the Debit Dates. Please refer to Page 11 for the Payment Schedule and further details.
Paid class fees will neither be refunded nor used for any other purposes.
Should the class fees remain outstanding for more than 2 weeks after the Debit Date of an Instalment, HKCC reserves the right to terminate a member’s enrolment.
6 Practice and Performance
Members shall be punctual for all classes, extra practices, rehearsals and performances. Written notice signed by parent shall be provided in advance for lateness or early leave.
Members’ behaviour and attendance will be taken into consideration when tutors recommend or assess members to participate in performances or public exams.
Members shall wear the stage costumes (or uniform) in performances. HKCC reserves the right to exclude those who fail to comply with the apparel requirements from performances.
Members shall be responsible for their personal belongings during practices and performances. HKCC is not responsible for any loss.
 
Practice schedule or location may change whenever necessary for certain performances. Such arrangements may conflict with members’ other classes. No make-up classes or fee refund will be offered for classes missed due to such arrangements.
Parents shall pick up their children promptly after activities. HKCC is responsible for members’ personal safety only during practices or performances.
 
HKCC owns all intellectual property rights of its activities, including but not limited to rehearsals, local/overseas performances, recording, filming and exhibitions. HKCC has the right to take photographs and audio/visual recordings for its activities, and make copies of such recordings available to the general public. All income, if any, will be allocated to HKCC’s operations and activities fund. Parents who do not wish their children to participate in such activities shall notify HKCC with written notice in advance.
7 Performance Appraisal
The annual Performance Appraisal will be issued in June or December, depending on the structure of individual programmes.
 
Members will receive their Performance Appraisal upon completion of the course in that year. Appraisals will not be given to those who fail to finish the course, withdraw during the term, have not taken their exams, have outstanding class fees, have not returned all borrowed music scores or have not paid for lost or damaged scores.
 
Performance Appraisals that are not collected one month after the issue date will be kept at HKCC for up to one year. Members may obtain the unclaimed Performance Appraisals during this period at an administration fee of HK$50 per copy. All unclaimed Performance Appraisals shall be destroyed one year after the issue date.
 
Soft copy of Performance Appraisals will also be kept at HKCC for one year. Members can obtain a printed copy of the Performance Appraisal after completion of the “Performance Appraisal Copy Request” available at HKCC office and website with an administration fee of HK$50 per copy. Completed request form shall be returned to HKCC office in person.
8 Member Holidays
Please refer to Calendar of Activities 2017 on Page 8-9 for member holidays and major events of the year.
No make-up classes or fee refund will be offered for member holidays.
9 Emergency Suspension of Classes
Should the Education Bureau suspend primary and secondary schools/day schools due to adverse weather conditions, all HKCC classes will be cancelled. Please refer to Page 10 for "Class Arrangement under Adverse Weather Conditions".
HKCC will follow guidelines issued by the Education Bureau for school suspension due to other emergencies, such as public health issues.
No make-up classes or fee refund will be offered for classes cancelled due to adverse weather conditions or other emergencies.
 
Information regarding class suspension will be available at HKCC website. HKCC will not contact individual members for such arrangements.
10 Missing Class: complete "Leave Application"
Application may be made at HKCC website, submitted to HKCC offices in person or via postal mail. Applications made via telephone, e-mail or fax will not be accepted.
Classes missed without Leave Application will be regarded as absence without notice.
No make-up classes or fee refund will be offered for classes missed.
11 Changing Class Time: complete "Change of Class Time Request"
Requests may be made at HKCC website, submitted to our offices in person or via postal mail. Requests made via telephone, e-mail or fax will not be accepted.
Please attach a stamped self-addressed envelope with the request for future reply. Alternatively, parents may provide their fax number or e-mail address for receipt.
Members shall remain in the current classes until a reply from HKCC is received.
Due to limited places in each class, requests will only be granted when there are vacancies. Requests will be processed on first-come-first-served basis.
Request made within the next 6 months of a granted request will not be accepted.
HKCC reserves the right to make the final decision for placement arrangements.
12 Updating Personal Particulars: complete “Updating Personal Particulars Request”
Parents may request access to and amendment of their personal details provided to HKCC, such as address, telephone number or bank account number for auto-pay.
Applications may be made at HKCC website, submitted to HKCC offices in person or via postal mail. Applications made via telephone, e-mail or fax will not be accepted.
Change of bank account number shall be made at least 15 days prior to the Debit Date of an Instalment to allow sufficient processing time.
13 Withdrawing from Classes: complete “Withdrawal Application”
Applications may be submitted to HKCC offices in person or via postal mail. Applications made via telephone, e-mail, HKCC website or fax will not be accepted.
 
Withdrawal applications shall be submitted at least 15 days prior to the Debit Date in order to stop payment for that Instalment. Paid class fees will neither be refunded nor used for any other purposes under any circumstances. The application date will either considered to be the postmark date or the date of receipt by office.
All borrowed original music scores must be returned to HKCC upon withdrawal. HK$50 will be charged for each copy of lost or damaged music scores.
Confirmed withdrawals cannot be cancelled. Withdrawn members who wish to join HKCC again shall apply through normal procedures.
14 Leaving HKCC
All HKCC programmes are designed for children. Generally, members will leave HKCC when they reach the age of 16.
Certain programmes last for 2 years to 5 years. Members who have completed the programmes may leave or apply for other HKCC programmes.
Teenage members may also leave the choral programme due to voice change.
15 Termination of Enrollment
HKCC reserves the right to exclude any member from any programme.
Member's enrolment could be terminated under any of but not limited to the following circumstances:
 
(a) 3 consecutive absences without notice
(b) attendance lower than 70% within 6 months
(c) disruptive behaviour
(d) not wearing designated outfits to class
(e) outstanding class fees for more than 2 weeks
